Early on, Jacob managed his outreach using Excel spreadsheets, manually sorting and filtering contacts to decide who should receive specific listings. As his contact list grew into the thousands, this process became time-consuming and inefficient.
We helped Jacob streamline and scale his outreach by building a customized filter list system. This system allows him to quickly search and segment contacts by specific categories such as location and desired areas, making it easy to target the right prospects for each listing.
To further improve efficiency and consistency, we added a last outreach date to each contact. This enables Jacob to instantly see when he last emailed a contact, helping him prioritize follow-ups and avoid over- or under-communicating.
As a result, Jacob saves time, stays organized, and runs a more effective and scalable cold emailing strategy, allowing him to focus on closing deals rather than managing spreadsheets.

As a result, there are often multiple contacts connected to a single client, making it challenging to keep track of all relationships.
This is why a system that organizes and labels contacts based on their relationship to each client is so valuable. When you click on a specific client, you can view all associated contacts along with their relevant information.
In addition, each client record includes email threads from every conversation, along with an AI-generated summary of those communications. This information does not need to be entered manually, the system uses AI to analyze email conversations, categorize the data, and automatically store contact details and relationship information for each client.
