Filter List: An Organized Cold Emailing Strategy

Jacob Wolkenfeld is a New York City commercial real estate broker who uses cold emailing as a method for prospecting new clients. Early on, Jacob managed his outreach using Excel spreadsheets, manually sorting and filtering contacts to decide who should receive specific listings. As his contact list grew into the tens of thousands, this process became time-consuming and inefficient.

We helped Jacob streamline and scale his outreach by building a customized filter list system. This system allows him to quickly search and segment contacts by specific categories such as location and desired areas, making it easy to target the right prospects for each listing.

To further improve efficiency and consistency, we added a last outreach date to each contact. This enables Jacob to instantly see when he last emailed a contact, helping him prioritize follow-ups and avoid over- or under-communicating.

As a result, Jacob saves time, stays organized, and runs a far more effective and scalable cold emailing strategy—allowing him to focus on closing deals rather than managing spreadsheets.

Gauging Networking Success

Sarah Nanchanatt, founder and owner of S.N. Forensics, relies on a variety of networking groups and events to generate referrals for her business. She invests significant time and money into these efforts, making it essential to understand which activities are truly driving results.

To support this, we created a tracking system that allows Sarah to clearly see which networking groups generate the most referrals—and which groups or events are not worth repeating. Think of it as a profit-and-loss statement for networking, providing clear insight into the return on her investment.

With this system, Sarah can drill into each networking group or event to see exactly which clients were met and which deals resulted. This clarity enables her to make smarter decisions, focus her energy on high-performing opportunities, and confidently eliminate low-impact events.

Using AI to remove manual work

Peter and Jacob Gordon of NYFO provide financial services to retirees. They work not only with the client, but also with the client’s family and other associated professionals, such as lawyers and doctors. As a result, there are often multiple contacts connected to a single client, making it challenging to keep track of all relationships.

This is why a system that organizes and labels contacts based on their relationship to each client is so valuable. When you click on a specific client, you can view all associated contacts along with their relevant information.

In addition, each client record includes email threads from every conversation, along with an AI-generated summary of those communications. This information does not need to be entered manually—the system uses AI to analyze email conversations, categorize the data, and automatically store contact details and relationship information for each client.

Combining the Old with the New

Oskar Hallig of Only in My Dreams Events wanted to improve his website and operations while preserving key elements of his existing site—specifically the online store. To accomplish this, we created new, standalone webpages that mirrored the feel of the original website, ensuring a seamless and consistent user experience throughout.

In addition, we built customized forms that automatically notify Oskar when an inquiry is submitted. This allows him to respond quickly and provide information tailored to each specific request. The result is a modernized, more efficient system that enhances both the customer experience and internal operations—without sacrificing the functionality that was already working well.
